How information on the Nomination Form is processed
All information received on the nomination form will be stored securely electronically. It will not be printed out. If a paper nomination form is received it will be scanned and stored securely, and the original paper form will be shredded and disposed of securely. It will not be shared outside of The Cariad Blanket Project, and will only be viewed in its entirety by those with password access. When received it will be read and processed by the designated person. If they need further help processing the form, all personal identifying details on the form of either the nominator or nominee will be removed before an anonymized version of the form is shown to any other volunteer of The Cariad Blanket Project.
Information with the Nominator Section
All information in the Nominator Section of the Form will be stored securely until a Cariad Blanket Box has been sent to the nominee, or the nominator withdraws consent for this information to be stored. If this happens the entire nomination record will be deleted, including the details of the nominee in addition.
If the nominator has opted in to receiving email correspondence, their first and last name and email address will be held in the email correspondence list until you opt out of receiving emails. This list is stored securely electronically.
Information within the Nominee Section
All information in the Nominee Section of the Form will be stored securely until a Cariad Blanket Box has been sent to the nominee, or the nominator states that the nominee no longer requires a box, which ever comes first.
After the Cariad Blanket Box has been sent to the nominee all the details from their form will be anonymized and stored securely. Separate from this their first name, and first part of their postcode (the first three of four digits) which will be stored in a secure record for 2 years, to avoid duplicate boxes being sent to them if they are nominated again. Stored in a separate secure list will be the first letters of the postcode that each box is sent to (e.g. CF for a postcode beginning CF14). This is in order to be able to show how far the project has reached.
How information on the Note of Encouragement Forms are processed
Information on the request form
All information on the form to request further details about writing a note of encouragement is stored securely electronically. The information provided on this form will not be shared with third parties. The information on the form will be used to contact you to give you further details about writing a postcard. You will only be contacted for this reason. Information provided on the form will be kept until a postcard is written by an individual. Once an individual has written and returned a postcard the information provided on this form will be deleted from the records.
Information on the Note of Encouragement Form
All information on the form is stored securely electronically. All information provided on the form will be stored until 1 year after a card with the text provided has been sent. When a year has passed since the card has been sent the only information from the form that will be kept is the first two letters of your postcode, if they have been provided. This is in order to keep a record of how far the project has reached. The information provided under the text section will be written out on to a physical postcard by a volunteer from the project. Whilst writing out the postcard the volunteer will not have access to any of your other personal details, apart from your name if you have stated that you are happy for the postcard to be signed off with your name. The contact details provided on the form will only be used if it is neccessary to contact you about something written on the form.
How information on the Completed Blanket Form is processed
All information on the completed blanket form is stored securely electronically. The information provided on this form will not be shared with third parties. You will be contacted with further details of how to send your blanket, and if there are any queries regarding the blanket before or after it is received.
How information on The Cariad Blanket Project email list is processed
If you sign up to receive email correspondence, your name and email address will be held in the email correspondence list until you opt out of receiving emails. This list will be stored securely electronically.
How information on the Cariad Creative Community email list is processed
